HVAC Service Coordinator, Commercial Dispatch
Overview
You will dispatch 20+ field technicians daily for a 75-year commercial mechanical contractor in New York City, managing emergency calls and scheduled maintenance across office, retail, and education sites. You report to the Vice President of Service and own the daily schedule, customer communication, and material ordering. This role demands a calm, decisive coordinator who knows HVAC systems and can match skill sets to calls in real time. You close gaps between customers, technicians, and leadership while keeping operations moving.
What You'll Do9
- 1Dispatch 20+ technicians daily, matching skill, location, and urgency to each call
- 2Triage emergency requests and set accurate response expectations with customers
- 3Build and maintain the daily and weekly service schedule for the field team
- 4Schedule preventative maintenance visits for contract customers and meet obligations
- 5Order HVAC parts and materials, creating purchase orders and placing orders with supply houses
- 6Enter technician time into the ERP system within payroll deadlines, coordinating with office manager
- 7Maintain detailed records on maintenance customers, including contacts, equipment, and recurring issues
- 8Follow up with customers and vendors, keeping account information current
- 9Serve as the primary link between field, customer, and service leadership
Requirements8
- 12+ years dispatching or service coordination in commercial HVAC
- 2Working knowledge of HVAC components and system operation
- 3Experience ordering HVAC parts and equipment from supply houses
- 4Experience with a field service management or ERP platform, such as ECI GlobalEdge
- 5Sound judgment in prioritizing competing service demands
- 6Professional composure and strong verbal communication under pressure
- 7Strong organizational skills and the ability to establish effective processes
- 8Ability to manage frequent interruptions and shifting priorities
