Front Office Coordinator, Orthopedic Surgery & Medical Practice
Overview
Front Office Coordinator in a specialty orthopedic surgical practice guiding patient flow and administrative support across the care team. You will own patient check-in and check-out, scheduling, eligibility verification, and referral coordination at a high-volume site. This role emphasizes proactive communication, accurate documentation, and timely updates to patients and providers. You will collaborate with medical assistants, providers, and insurance contacts to ensure smooth patient experiences.
What You'll Do10
- 1Build and maintain patient records in EMR and scheduling systems to ensure accuracy
- 2Schedule new patient, follow-up, and other clinical appointments and coordinate with clinicians
- 3Verify patient demographics, insurance information, and eligibility before visits
- 4Collect copays and patient responsibility amounts and document transactions
- 5Process referrals and prior authorizations, communicating requirements to patients and providers
- 6Obtain and maintain patient forms, signatures, insurance cards, IDs, and supporting documentation
- 7Respond to patient questions and clinical concerns by routing to the appropriate team member
- 8Proactively follow up on outstanding patient requests and coordinate with the clinical team for updates
- 9Monitor schedules for conflicts and missing information and communicate issues before visits
- 10Assist with cancellations, rescheduling, and cross-train in other departments as needed
Requirements10
- 1High school diploma or GED required
- 2Professional customer service or administrative experience
- 3Strong verbal and written communication skills
- 4Attention to detail and data-entry accuracy
- 5Ability to manage multiple priorities in a high-volume environment
- 6Basic computer proficiency and ability to learn healthcare software
- 7Maintain confidentiality and protect PHI according to HIPAA
- 8Dependable attendance and professional presentation
- 9Ability to communicate effectively with patients, providers, and insurance representatives
- 10Experience in a medical front-office, referral coordination, or comparable setting is preferred
