Front Desk Receptionist, Psychiatric Practice (Medical Office)
Overview
As the first point of contact for our psychiatric practice, you will welcome patients and own the front desk experience at our Pleasanton office. You will manage a high-volume of appointments, phone calls, and patient data across EHR systems and Zoom telehealth platforms. Working alongside a team of 3 front desk staff and 5 providers, you will ensure smooth patient flow and accurate record keeping. This role stands out for its direct patient interaction and the opportunity to support mental health care in a structured, clinical environment.
What You'll Do10
- 1Answer and direct phone calls, prioritizing patient needs and provider availability.
- 2Schedule and manage patient appointments using the EHR system, reducing no-show rates.
- 3Check and return voicemails promptly, ensuring each patient receives a callback within 1 business day.
- 4Review, sort, and scan faxes to the appropriate providers, keeping electronic charts current.
- 5Manage answering service messages and ensure timely follow-up with patients.
- 6Scan documents, medical records, and lab results into patient charts, maintaining data integrity.
- 7Send Zoom links to doctors and patients for telehealth appointments.
- 8Conduct insurance verifications via portal and phone, confirming coverage before visits.
- 9Process patient payments via credit card, checks, and cash, and register new patient demographics.
- 10Call patients to collect copays and remind them of required intake forms.

- 12+ years of customer service or front desk experience.
- 2Experience in a medical or mental health setting is a plus.
