Overview
You will be the welcoming face of Macomb Spine Care, managing front desk operations for a busy spine care clinic in Detroit, Michigan. You will own patient check-in, payment processing, and scheduling, while coordinating with a small medical team to keep daily operations smooth. This role combines medical administrative support with front desk duties, requiring 3+ years of office experience. You will handle HIPAA compliance, use E-Thomas software, and support patients from arrival to treatment, making a direct impact on their care experience.
What You'll Do9
- 1Greet patients and visitors warmly, ensuring a positive first impression and managing check-in procedures.
- 2Answer and direct all incoming calls using multi-line phone systems with professionalism and courtesy.
- 3Process patient payments for co-pays, deductibles, and treatment plans, including Care Credit Financing and cash ledger management.
- 4Schedule and recall patient appointments, coordinating with clinical staff to maintain efficient daily flow.
- 5Assist patients with light therapy machine setup and prepare treatment rooms for clinical procedures.
- 6Manage office supplies inventory, order supplies, and type and mail patient letters.
- 7Maintain organized filing systems and ensure compliance with HIPAA regulations in all patient interactions.
- 8Use E-Thomas software for patient records and billing, ensuring accurate data entry and documentation.
- 9Support office management tasks such as calendar scheduling and appointment setting for staff.
Requirements10
- 13+ years of office experience, including front desk and medical administrative support roles.
- 2Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy.
- 3Strong math skills and proficiency with a calculator for payment processing and ledgers.
- 4Knowledge of EMR systems like E-Thomas or EHR systems is highly preferred.
- 5Understanding of HIPAA regulations and patient privacy requirements.
- 6Familiarity with medical terminology and a medical or dental office setting.
- 7Experience with multi-line phone systems and professional phone etiquette.
- 8Excellent organizational skills with the ability to multitask in a busy environment.
- 9Bilingual ability is highly preferred to serve diverse patients effectively.
- 10Ability to work independently while maintaining attention to detail and time management.
