Overview

You will own the surgical scheduling workflow for spine procedures across multiple physician practices, coordinating surgeries, appointments, and documentation with hospitals and clinical staff. You will work onsite in Troy, MI, with a hybrid option after an introductory period. You will operate as the central link between physicians, patients, and hospital boarding offices, ensuring every case is booked with accuracy and completeness. This role demands precision and calm under pressure, as you will manage add-on emergencies and reschedule cases daily. You will bring at least one year of clerical or customer service experience, preferably in a medical office, and a working knowledge of EHR/EMR systems.

What You'll Do9

  • 1Track physician orders for surgical procedures, verifying patients receive necessary paperwork such as medical clearance and insurance forms.
  • 2Schedule patients for surgery and pre-operative/post-operative appointments, providing clear instructions and coordinating with physicians to avoid conflicts.
  • 3Complete surgical boarding forms, confirm information accuracy, and forward to hospital boarding offices for scheduling.
  • 4Contact patients to obtain or update insurance information, and coordinate with primary care physicians when required for clearances or additional testing.
  • 5Confirm all necessary documents and authorization numbers are accurate and complete before the surgery date, communicating across departments.
  • 6Update and rearrange physician schedules to accommodate patients and add-on emergency cases, pulling all needed information from physician staff.
  • 7Notify appropriate departments of cancelled cases and keep accurate records of all boarded surgical cases in physician scheduling books.
  • 8Scan and maintain patient surgical forms in charts, copying chart notes, lab and diagnostic tests, and medical clearances as applicable.
  • 9Maintain direct and frequent communication with physicians and the manager to ensure scheduling coverage during office hours.

Requirements9

  • 1High School diploma or equivalent.
  • 21+ year of clerical or customer service experience, preferably in a medical office.
  • 3Ability to problem solve and troubleshoot scheduling issues as they arise.
  • 4Ability to multitask and operate a multiline phone system and computer.
  • 5Time-management skills to handle high volumes of surgical cases.
  • 6Preferred: 1+ year of medical office, billing, or call center experience.
  • 7Preferred: Experience inputting insurance, personal, and patient medical records into an EHR/EMR system.
  • 8Preferred: Knowledge of medical terminology and abbreviations.
  • 9Preferred: Exceptional written and verbal communication skills.
