Front Desk Float, Medical Office & Patient Services
Overview
You will own the front desk experience for a multi-physician rheumatology clinic, managing check-in, check-out, and patient flow for 40-60 patients daily. You will work alongside 3 medical assistants and 2 schedulers, reporting to the office manager. Your role ensures a smooth, HIPAA-compliant visit from greeting to follow-up, with real ownership over patient satisfaction and revenue collection.
What You'll Do9
- 1Greet patients and visitors, verify and update demographics, insurance, and contact details in the EHR system.
- 2Collect co-pays, deductibles, and outstanding balances at check-in and check-out, issuing receipts and reconciling the daily batch.
- 3Schedule, confirm, and reschedule appointments using the practice management system, coordinating with clinical staff to optimize provider capacity.
- 4Prepare visit summaries, referrals, and follow-up instructions, reviewing them with patients before departure.
- 5Check out patients by scheduling follow-up visits, procedures, and referrals, ensuring documentation is complete and routed to the right clinical staff.
- 6Answer incoming calls, triage patient inquiries, and route messages to nurses or providers, maintaining a professional and courteous tone.
- 7Manage patient flow by monitoring the waiting room and communicating delays or room assignments to clinical staff.
- 8Protect patient privacy by adhering to HIPAA protocols in all interactions and record handling.
- 9Support the office with administrative tasks such as filing, scanning, and faxing, stepping in as a float for other front desk staff during breaks or absences.
Requirements8
- 11+ years of experience in a medical office or healthcare setting, with front desk or patient coordination duties.
- 2High school diploma or equivalent; some college or medical office training preferred.
- 3Hands-on experience with EHR systems such as eClinicalWorks, Epic, or NextGen and insurance verification tools.
- 4Working knowledge of insurance verification procedures, including eligibility checks and benefit inquiries.
- 5Proven ability to handle high-volume phone calls and patient check-ins with accuracy and composure.
- 6Strong customer service skills, with the ability to de-escalate upset patients and maintain a positive attitude.
- 7Basic math skills for cash handling and payment posting, with attention to detail.
- 8Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with practice management software.
