Front Desk Administrative Assistant - Clear Behavioral Health
Overview
You will be the primary onsite point of contact for our outpatient clinic, managing front desk operations and scheduling client sessions. You will coordinate communication between clients and clinical staff, ensuring a seamless experience. You will maintain a clean, organized, and professional environment while supporting the clinical team with administrative tasks. This role requires 1+ year of front desk experience and a strong handle on Apple iOS systems, with a focus on client satisfaction and operational efficiency.
What You'll Do10
- 1Greet clients, visitors, and staff warmly, creating a positive first impression for the clinic.
- 2Manage client check-in and check-out processes, including verifying insurance and collecting co-pays.
- 3Schedule client sessions and program services, coordinating with clinicians to avoid conflicts.
- 4Maintain and update client records in the clinic's management system with accuracy and detail.
- 5Process intake forms, insurance authorizations, and billing documents, ensuring timely completion.
- 6Answer and direct phone calls promptly, providing information about clinic services and policies.
- 7Coordinate communication between clients and clinicians, following up on appointments and cancellations.
- 8Maintain a clean reception area, monitor office supplies, and order replacements as needed.
- 9Assist with faxing, copying, and scanning documents for clinical and administrative purposes.
- 10Uphold HIPAA regulations by safeguarding client confidentiality in all interactions.
Requirements9
- 11+ year of front desk experience in a clinical or healthcare setting.
- 21-3 years of experience in a similar administrative role (preferred).
- 3Experience working in the mental health field preferred.
- 4Excellent written and verbal communication skills, with a professional phone manner.
- 5Proficiency with office equipment including fax machines, copiers, and scanners.
- 6Ability to multi-task and prioritize tasks in a fast-paced environment.
- 7Experience with Apple iOS systems (e.g., iPhone, iPad) for scheduling and communication.
- 8Strong organizational and project management skills, with attention to detail.
- 9Computer competence in Microsoft Word and Excel for record keeping and reporting.
