Overview
The Front Desk Customer Service Representative serves as the first point of contact for residents homeowners and vendors. This role delivers professional courteous and consistent service while enforcing Association policies protecting confidential information and maintaining a calm respectful environment during high-conflict interactions. Responsibilities include greeting residents homeowners and visitors responding to inquiries providing information about HOA rules and directing residents to appropriate departments handling administrative support logging service requests assisting with mail distribution and access cards and maintaining organized records. Professional conduct requires maintaining a professional appearance adhering to attendance punctuality standards representing the Association positively. Candidates must have a high school diploma minimum 1-2 years of customer service experience strong communication skills ability to remain calm and professional basic computer skills drivers license and bilingual abilities are a plus.
What You'll Do11
- 1Greet residents homeowners and visitors in a professional and welcoming manner
- 2Respond to in-person phone and email inquiries with accuracy and courtesy
- 3Provide general information regarding HOA rules policies and amenities without legal interpretations
- 4Direct residents to appropriate departments management or Board processes as needed
- 5Handle difficult frustrated or upset residents calmly and professionally de-escalate conflicts while maintaining HOA standards
- 6Document resident interactions complaints and requests accurately in HOA systems
- 7Maintain neutrality and professionalism at all times
- 8Assist with mail distribution access cards keys or amenity reservations
- 9Maintain organized records and front desk documentation
- 10Support management with clerical tasks meeting preparation or resident communications
- 11Enforce HOA policies and procedures consistently following established escalation procedures for safety legal or policy-related concerns
Requirements9
- 1High school diploma or equivalent
- 2Minimum 1-2 years of customer service or front desk experience
- 3Strong verbal and written communication skills
- 4Ability to remain calm respectful and professional under pressure
- 5Basic computer skills (email databases Microsoft Office)
- 6Drivers license
- 7Previous HOA property management hospitality or municipal experience
- 8Experience in high-conflict or regulated environments
- 9Bilingual abilities a plus
