Family Office Assistant, Finance & Administration
Overview
You will own the full set of books for the founder's private office, managing daily transactions, reconciliations, and vendor payments with precision and absolute discretion. Working directly with the founder and a small team, you will handle bank and insurance communications, maintain clean digital filing, and prepare monthly summaries. This is a steady, self-directed role with predictable volume and a monthly internal review. Your work keeps the office running smoothly, and you will enjoy the trust placed in you to handle sensitive information with care.
What You'll Do8
- 1Maintain accurate records of daily transactions, receipts, and invoices in QuickBooks.
- 2Reconcile bank and credit card accounts on a regular schedule, ensuring every statement matches.
- 3Track recurring payments and vendor invoices, flagging any discrepancies for review.
- 4Communicate with banks, insurance providers, and other institutions on account matters, including new account openings and document submissions, following through to completion.
- 5Research requirements and steps for new administrative and financial processes, presenting clear action plans.
- 6Organize and maintain clean digital filing for all financial and account documents, using Excel for tracking.
- 7Prepare monthly summaries for internal review, highlighting any variances or issues.
- 8Coordinate with office and household staff to collect necessary documentation for financial tasks.
Requirements7
- 13-6 years of bookkeeping or finance administration experience, ideally with a small business, family business, or private employer.
- 2Comfortable owning a full set of books end to end without a large accounting team.
- 3Confident handling paperwork and phone conversations with banks and other institutions, persistent in completing multi-step processes.
- 4A reliable personal system for tracking open items over weeks, not just days.
- 5Proficiency with QuickBooks or similar, and solid Excel skills.
- 6Absolute discretion with confidential and personal information.
- 7High standard for accuracy and genuine satisfaction in keeping records clean and current.
