Executive Assistant to the CEO, NYC & Personal Support
Overview
Executive Assistant to the CEO responsible for strategic support, calendar management, travel coordination, and executive gatekeeping for a fast-scaling security company. You will coordinate across the executive team, anticipate needs, and ensure seamless execution of priorities in a high-trust environment. This role sits on-site in NYC three days a week and may require occasional after-hours availability. You will partner with the CEO to enable focus on vision and growth while maintaining discretion and professionalism.
What You'll Do8
- 1Build and manage complex calendars and travel plans for the CEO and executive team, ensuring alignment with priorities
- 2Track tasks and follow up on action items to drive execution and closure with precision
- 3Act as a trusted gatekeeper prioritizing requests and maintaining discretion across communications
- 4Prepare for meetings, events, and hosting including both professional and personal contexts
- 5Handle expense reporting and reimbursements accurately and on time
- 6Run errands and manage household related tasks as needed while maintaining confidentiality
- 7Provide administrative and logistical support to the executive team to enable strategic initiatives
- 8Maintain ongoing communication with stakeholders while upholding privacy and professionalism
Requirements8
- 1Minimum 5 years of experience in Personal Assistant or Executive Assistant roles
- 2Strong organizational skills and meticulous attention to detail
- 3Ability to multitask effectively in a dynamic, fast paced environment
- 4High level of professionalism discretion and strong work ethics
- 5Excellent communication skills in English (written and spoken)
- 6Proficiency with Google Calendar and Google Workspace
- 7Flexible to work beyond regular hours and occasionally on weekends
- 8On-site presence in NYC office three days per week
