Executive Assistant, Office of the CEO in Aerospace & Defense
Overview
The Executive Assistant will support the CEO and C-Suite in Houston, coordinating calendars, travel, expenses, and office operations for a fast-paced aerospace company. You will partner with the Senior Director, Executive Operations & Engagement to enable executives to operate efficiently. You will manage VIP visits, conference rooms, kitchen and common areas, and day-to-day administrative tasks while maintaining discretion and confidentiality. This role offers exposure to leadership, strategic initiatives, and a professional, welcoming office environment in a cutting-edge industry.
What You'll Do10
- 1Own complex executive calendars and optimize time for multiple C-Suite leaders
- 2Coordinate domestic and international travel including visas, itineraries, logistics, and contingency planning
- 3Prepare and reconcile executive expense reports in accordance with policy
- 4Schedule and coordinate executive meetings including materials, catering, and follow-up actions
- 5Screen requests for executive time and prioritize across stakeholders
- 6Prepare travel itineraries and briefing materials for executives
- 7Support executive communications and administrative correspondence as needed
- 8Maintain confidentiality when handling sensitive information
- 9Serve as the primary coordinator for day-to-day office operations and facilities collaboration
- 10Coordinate customer visits and executive briefings including room setup and materials
Requirements10
- 1Bachelor's degree or equivalent combination of education and experience
- 2Five or more years of experience supporting senior executives at VP or C-Suite level
- 3Experience coordinating complex executive calendars and travel
- 4Experience preparing executive expense reports
- 5Proficiency with Microsoft Office Suite including Outlook Word Excel PowerPoint Teams
- 6Strong organizational and project coordination skills
- 7Excellent written and verbal communication abilities
- 8Demonstrated professionalism discretion and integrity
- 9Ability to anticipate needs and proactively solve problems
- 10Comfortable in a fast paced dynamic environment with changing priorities
