
Executive Assistant, Contract - Tempe AZ
Overview
Own all administrative and clerical support at the Tempe, AZ site, acting as the primary contact for visitors and staff. Serve leadership and the facilities team across Microsoft Office, Teams, and Concur expense reporting. Manage calendars, travel, events, and intercompany mail in a 3-month contract role. This position offers direct exposure to executive operations and event coordination. Work onsite 30 hours per week, with flexibility in schedule.
What You'll Do12
- 1Serve as the first point of contact for visitors and staff, answering phones and screening calls per company policy.
- 2Greet visitors, direct them to the right people or locations, and maintain a professional reception area.
- 3Update and maintain reception procedures, screen mail, and respond to routine inquiries using standard formats.
- 4Manage intercompany mail across multiple building sites, ensuring timely delivery.
- 5Collaborate with the facilities lead to improve office décor, branding, and furnishings.
- 6Maintain site-specific administration files and records, and support HR and the Site Lead with policies and activities.
- 7Coordinate with vendors for site services, recommend new vendors, and manage facility vendor payments and expense reports.
- 8Resolve issues for site employees and handle end-to-end support tasks and projects.
- 9Organize local recognition events, order and maintain office and kitchen supplies, and support manager requests.
- 10Coordinate onsite and offsite events like product launches, holiday parties, and townhalls, and schedule conference rooms.
- 11Prepare presentations, spreadsheets, and shared files using Microsoft Office, and maintain calendars for BU leadership.
- 12Coordinate travel arrangements and manage expense reports for leadership, and support special projects as assigned.
Requirements9
- 13-5 years of executive assistant experience.
- 2Associate's or Bachelor's degree preferred.
- 3Strong organizational and adaptability skills.
- 4Professional demeanor suitable for client-facing roles.
- 5Experience with Microsoft Office and Concur expense reporting.
- 6Ability to work in a fast-paced environment with flexibility in start date and duration.
- 7Excellent communication skills via in-person, email, and Teams.
- 8Experience coordinating travel and meetings.
- 9Ability to handle multiple tasks including event planning and office support.
