Overview

Own the planning and execution of large on-site educational symposiums in a fast-paced non-profit setting. You will support scheduling, calendar coordination, and meeting documentation while coordinating events for hospital and medical community audiences. What You'll Do7

  • 1Build on-site symposiums for 200 to 400 attendees, ensuring smooth execution during regular business hours
  • 2Design and coordinate logistics from prep through day-of support including vendor communication, catering, room setup, and attendee flow
  • 3Serve as primary point of contact for external partners and event suppliers to confirm timelines and operational details
  • 4Ship administrative support by organizing meetings, maintaining leadership calendars, and documenting key discussion points and follow-up items
  • 5Create event materials and simple promotional pieces using Canva to support communications and themed program needs
  • 6Welcome guests, assist with check-in activities, and provide on-site support to help visitors navigate event activities
  • 7Track multiple moving parts across concurrent projects while maintaining accurate details, deadlines, and event documentation

Requirements7

  • 1Prior experience supporting events, conferences, symposiums, or similar large-scale gatherings
  • 2Strong administrative coordination skills, including scheduling, calendar management, and meeting note preparation
  • 3Ability to manage on-site event operations and provide a high level of service to guests and visitors
  • 4Proficiency with Canva for creating flyers and other basic event-related materials
  • 5Exceptional organizational ability with a sharp eye for accuracy and follow-through
