Event Coordinator, Hospitality & Sales Support
Overview
Supports the sales department by handling behind-the-scenes administrative work to keep events running smoothly at scale. Manages confirmation calls, RFPs, and contract updates to convert inquiries into closed won business. Collaborates with Operations, Sales, and hosts to ensure accurate BEOs and timely paperwork. This role contributes to unforgettable guest experiences and revenue through upsell opportunities while staying organized and detail-oriented.
What You'll Do8
- 1Build relationships with Event Hosts and Sales Team to convert inquiries into closed won business
- 2Coordinate site tours and ensure contracts and BEOs are updated across events
- 3Distribute and track paperwork for pop up parties and event staffing with the management team
- 4Provide administrative support to Sales including follow up on calls, emails, and tasks
- 5Follow up on ARs collect payment information and close balances while submitting invoices
- 6Ensure Operations has up-to-date BEOs and communicate changes to contracts or paperwork
- 7Identify upsell opportunities with Event Hosts after sale is closed won
- 8Act as owner of event operations including handling miscellaneous duties as assigned
Requirements6
- 1Proficiency in English communication
- 2Strong organizational and verbal communication skills
- 3Ability to analyze basic data to assist decision making
- 4Experience coordinating events or hospitality operations preferred
- 5Onsite availability in Phoenix, Arizona and ability to work contract role
- 6Must be able to manage multiple tasks and maintain accuracy
Salary Insight
