Overview
Contracts Admin and Project Assistant supporting construction contracts and risk documentation at scale in Concord. You will partner with contract and risk teams to maintain accurate records, assist with subcontract and purchase order processing, and keep day-to-day administration on track. This role emphasizes organized documentation, compliance tracking, and clear communication across project teams. You’ll operate within a collaborative environment with internal stakeholders and field operations, delivering reliable project visibility.
What You'll Do9
- 1Build and maintain project tracking systems for contract documents, insurance records, and union status to keep files accurate and accessible
- 2Review subcontracts and purchase orders for completeness, then record, scan, and organize documents for ongoing project oversight
- 3Assist with startup materials and contract paperwork for new projects to accelerate onboarding
- 4Coordinate preliminary notice, lien, and release documentation by monitoring vendor compliance and filings
- 5Support project compliance by identifying discrepancies and resolving issues promptly
- 6Request, examine, and maintain project certificates of insurance ensuring records meet requirements
- 7Update compliance reports, logs, and internal databases to provide clear visibility into contract and risk status
- 8Handle administrative tasks such as drafting correspondence, scanning files, and preparing reports for contract and risk teams
- 9Collaborate with project, contract, and risk stakeholders in a fast-paced setting to stay aligned on timelines
Requirements8
- 1Experience supporting contract administration, project coordination, or construction-related office operations
- 2Familiarity with subcontract agreements, purchase orders, and document control practices within a construction environment
- 3Working knowledge of insurance certificate tracking, compliance documentation, and vendor file management
- 4Understanding of preliminary lien notices, release procedures, or similar construction compliance processes
- 5Strong organizational skills with the ability to manage timelines and maintain accurate project records across multiple assignments
- 6Proficiency in scanning, filing, and maintaining structured digital and physical documentation systems
- 7Effective written communication skills for preparing correspondence, logs, and routine project reports
- 8Ability to work independently while coordinating with project, contract, and risk stakeholders in a fast-paced setting
