Construction Office Manager, Compliance & Payroll
Overview
You own the administrative backbone of construction projects in New York, ensuring compliance documents, payroll certifications, and project files stay accurate. You bridge field crews, subcontractors, and internal teams, keeping every job audit-ready. Expect to manage COI tracking, certified payroll, and timecard workflows from day one. What You'll Do8
- 1Track and request Certificates of Insurance (COI) and lien waivers for all projects, clearing compliance gaps before deadlines.
- 2Prepare and submit certified payroll reports weekly, verifying labor classifications and fringe benefits for prevailing wage projects.
- 3Manage project document flow: contracts, subcontracts, and change orders, keeping versions current and accessible.
- 4Serve as primary phone and email contact, routing inquiries to the right team and drafting professional correspondence.
- 5Support job cost tracking and accounts payable by reviewing documentation for approval and completeness.
- 6Collect and verify timecards from field staff, correcting errors before payroll processing.
- 7Coordinate with HR and payroll on new hires and status changes, facilitating smooth onboarding.
- 8Act as anchor for the estimating team, organizing bid documents and ensuring on-time proposals.
Requirements7
- 13+ years in construction office administration or project coordination.
- 2Hands-on experience with certified payroll and prevailing wage compliance.
- 3Strong knowledge of COI tracking, lien waivers, and subcontractor compliance.
- 4Proficiency with Microsoft Excel and construction management software (e.g., Procore, Viewpoint).
- 5Ability to read and interpret contracts and change orders.
- 6High attention to detail with document control and filing systems.
- 7Effective communication skills for coordinating with field crews and management.
