Preconstruction Operations Coordinator, Construction
Overview
You will own bid management, document control, and estimating support for a construction firm in New York, handling multiple subcontractor bids and proposal packages simultaneously. The team relies on Procore and Autodesk Construction Cloud to manage project documents and version control. You will coordinate with subcontractors, prepare bid packages, and assist with quantity takeoffs, ensuring a smooth transition from preconstruction to construction operations. This role offers hands-on exposure to the full preconstruction lifecycle, with direct mentorship from senior estimators.
What You'll Do10
- 1Maintain the bid calendar and preconstruction schedule, coordinating bid due dates and proposal milestones across multiple projects.
- 2Assemble bid packages, track invitations to bid, and maintain subcontractor bid lists.
- 3Distribute addenda and revised bid documents, organizing bid submissions for estimator review.
- 4Maintain drawing and specification logs, organize digital project files, and manage version control for bid documents using Procore and Autodesk Construction Cloud.
- 5Assist with quantity takeoffs, solicit subcontractor quotations, and track incoming bids to prepare bid comparison spreadsheets.
- 6Verify subcontractor insurance and qualifications, and assist with budget formatting and estimate packages.
- 7Assemble qualifications packages, update resumes and project experience sheets, and coordinate proposal graphics and compliance forms.
- 8Maintain subcontractor and supplier databases, coordinate requests for quotations, and track bid responses.
- 9Schedule internal estimating meetings, prepare agendas, record minutes, and track action items.
- 10Coordinate design review meetings and ensure all preconstruction milestones are met.
Requirements10
- 10-3 years of experience in construction or related field, or equivalent education.
- 2Bachelor's degree (or pursuing one) in Construction Management, Civil Engineering, Architecture, Engineering Technology, or Business Administration.
- 3Internship with a contractor, developer, architect, or engineering firm preferred.
- 4Construction office experience is a plus.
- 5Microsoft Excel and Word proficiency.
- 6Bluebeam and Adobe Acrobat proficiency.
- 7Procore experience preferred.
- 8Autodesk Construction Cloud experience preferred.
- 9Sage or estimating software experience preferred.
- 10Strong organizational skills, attention to detail, and ability to prioritize multiple deadlines.
