Overview

You will own project tracking, purchasing, and job costing for field operations in our New York office, ensuring data accuracy and on-time milestones. You work directly with APMs and PMs to coordinate vendors, subcontractors, and permitting. You also develop estimates and scopes for smaller assignments, and represent the company at trade shows. This role suits a self-starter who thrives on order and accountability, and who can mentor junior team members.

What You'll Do9

  • 1Track critical project milestones and manage local permitting and licensing processes with MS Project and Excel.
  • 2Lead vendor coordination and subcontractor onboarding, ensuring all compliance documents are complete.
  • 3Own all purchasing and job costing for assigned projects, using QuickBooks and SAP to maintain precise financial records.
  • 4Independently prepare estimates, proposals, and scopes of work for surveys, maintenance, and inspections using Bluebeam and PlanSwift.
  • 5Assemble closeout packages, survey reports, and field documentation, organizing them in SharePoint and Dropbox.
  • 6Represent the company at local trade shows and industry events, showcasing our services and building relationships.
  • 7Support business development by preparing bid packages and tracking leads in CRM systems.
  • 8Mentor junior coordinators on project tracking tools and communication best practices.
  • 9Escalate field or safety concerns to leadership promptly, and assist with emergency scheduling when needed.

Requirements9

  • 12+ years of experience in construction or technical field services.
  • 2Strong written and verbal communication skills, with the ability to manage client expectations and mentor junior staff.
  • 31+ years of experience using MS Office Suite (Outlook, Teams, Word) and project tracking tools like Asana or Trello.
  • 4High school diploma or equivalent, and a valid driver's license with a clean record.
  • 5Basic mechanical aptitude and physical capability to lift 50+ lbs occasionally.
  • 6Comfortable working onsite in NY office/warehouse, within commuting distance.
  • 7Ability to pass a comprehensive background screening and MVR check.
  • 8Ethical and accountable, with a high standard for accuracy and a collaborative spirit.
  • 9Desire to become a working supervisor, with the ability to pop-up and handle varying tasks as needed.
