Overview

Own project documentation and compliance for multi-state construction operations at Harper Brothers Construction. Use Excel and Microsoft Office to track RFIs, submittals, and vendor records. What You'll Do16

  • 1Track and maintain project RFIs, submittals, and related documentation using spreadsheets and tracking tools.
  • 2Coordinate communication with vendors, subcontractors, and project teams regarding RFIs, submittals, and requirements.
  • 3Assist with invoice processing and review, ensuring accurate and complete documentation.
  • 4Support 811 utility coordination and maintain associated records.
  • 5Draft and process Purchase Orders (POs) and Subcontract/Labor Agreements (SLs) throughout the project lifecycle.
  • 6Develop and maintain quantity, agreement, and material tracking spreadsheets.
  • 7Monitor vendor compliance including MPL and Gold Star documentation, material sourcing records, and Form 2806 requirements.
  • 8Assist with subcontract approval processes, including document collection and preparation.
  • 9Obtain, organize, and track vendor and subcontractor quotes.
  • 10Coordinate job site photo documentation and project files.
  • 11Track and coordinate in-house safety training records and compliance requirements.
  • 12Prepare and process employee expense reports and supporting documentation.
  • 13Submit and track equipment move and rental requests.
  • 14Support field office and trailer setup, including ordering supplies and equipment.
  • 15Coordinate telecommunications and administrative support, including company phone setup.
  • 16Assist with utility coordination including water meter applications, permits, and bore/hot tap requests.

Requirements10

  • 11-3 years of construction administration, project support, or office coordination experience.
  • 2High school diploma or GED; Associate degree in Business, Construction Management, or related field preferred.
  • 3Working knowledge of construction documentation and subcontractor coordination.
  • 4Proficiency in Microsoft Office Suite, especially Excel, Outlook, and Word.
  • 5Strong organizational skills to manage multiple priorities and deadlines.
  • 6Excellent attention to detail and accuracy in recordkeeping.
  • 7Effective communication and customer service skills with field personnel and vendors.
  • 8Ability to maintain confidential information and exercise sound judgment.
  • 9Proactive mindset with a sense of urgency and ownership.
  • 10Team-oriented approach with commitment to quality and safety.
