Bilingual Administrative Assistant (Spanish) - Boston MA
Overview
You will own daily administrative operations for a 210-unit affordable housing community in Boston, supporting residents and the property team. You handle front desk phones, resident traffic, mail, and document flow. You work with Microsoft Office and RealPage OneSite to keep records accurate. This role stands out by offering direct resident interaction plus cross-departmental project support at a leading multifamily owner and developer.
What You'll Do9
- 1Maintain filing systems, order office supplies, and manage incoming and outgoing mail at Washington Columbia II.
- 2Prepare accurate expense reports and detailed travel arrangements for team members.
- 3Scan, email, and copy documents for resident files and recertifications.
- 4Issue building access badges and support onboarding for new team members.
- 5Log resident work orders and track completion status in RealPage OneSite.
- 6Collect resident documentation for recertifications and file paid invoices.
- 7Create department check requests and prepare organizational charts and presentations in PowerPoint.
- 8Book meetings, set up conference rooms, and greet visitors in a welcoming manner.
- 9Complete special projects assigned by the property manager or department lead.
Requirements9
- 1High school diploma or GED equivalent.
- 2Less than 1 year of relevant work experience.
- 3Basic familiarity with computer systems and web-based applications.
- 4Bilingual in English and Spanish.
- 5Strong organizational and multitasking skills with attention to detail.
- 6Excellent written and verbal communication skills in both languages.
- 7Welcoming, professional attitude and presence.
- 8Preferred: Proficiency with Microsoft Office (Excel, Word, Outlook, PowerPoint) and knowledge of OrgPlus 4.0.
- 9Preferred: Past experience with RealPage OneSite or other property management software.
