Audit Team and Executive Support Specialist, Asset Based Lending Field Exam
Overview
Own administrative operations for a boutique asset based lending field exam firm serving banks and lenders in the Los Angeles area. You’ll coordinate exam logistics, travel, expenses, and document management for a small, collaborative team. This role can be full time or part time and includes benefits such as medical, dental, vision, PTO, 401K matching, yearend bonus, and paid holidays for eligible candidates. You’ll support executives and auditors on various tasks including marketing and special projects, with opportunities to grow into more responsibilities.
What You'll Do10
- 1Lead exam logistics including scheduling, correspondence, assignments, and tracking via Teams Planner and SharePoint to ensure timely, accurate task execution
- 2Coordinate travel arrangements for employees and book travel; process and track business and employee expenses and submit expense reports
- 3Monitor emails for upcoming deadlines, flag important communications, and maintain task execution with the auditing team
- 4Create QuickBooks invoices, apply payments, and renew business certifications
- 5Oversee Office & Facilities Management including organization, vendor scheduling, and review of contracts and insurance
- 6Restock and manage kitchen and office supplies, and organize archive of physical and digital files
- 7Answer incoming calls and mail and provide executive support as needed
- 8Assist executives with marketing, special projects, and other duties as assigned
- 9Maintain confidentiality and manage tasks across multiple levels of management
- 10Support onboarding and cross-functional collaboration within a small, family-like team environment
Requirements9
- 1Experience in administrative or office support roles is highly desirable
- 2Excellent organizational and multitasking abilities
- 3Proficient with Microsoft Office Suite, Teams, SharePoint, and cloud storage platforms
- 4Strong written and verbal communication skills, proficient in English
- 5Ability to work independently, manage deadlines, and maintain confidentiality
- 6Ability to communicate with all levels of management and provide customer service
- 7Familiarity with basic accounting, bookkeeping or expense tracking
- 8Bachelor's degree preferred
- 9Training will be provided
Salary Insight
