Own the operational flow of a high-volume aesthetics studio as the back-end coordinator. You build the runway for flawless patient experiences by prepping procedure trays, managing inventory, and synchronizing provider schedules. You are the invisible force that keeps every room, every tray, and every break on time. This role anchors the team with precision and anticipation, reporting directly to the studio manager. What You'll Do9

  • 1Prep and verify all procedure trays with precision and consistency, always ready before they're needed.
  • 2Open and close the studio to standard every shift, including full inventory counts.
  • 3Maintain treatment rooms and the back office to an impeccable standard, room to room, shift to shift.
  • 4Align the team on daily goals, studio flow, and provider break schedules before the first patient arrives.
  • 5Coordinate provider breaks and lunches so the schedule never stalls.
  • 6Monitor and restock supplies proactively, anticipating needs before they arise.
  • 7Maintain accurate patient documentation including charting, before & after photos, and treatment records.
  • 8Uphold every patient's dignity, individuality, and right to exceptional care.
  • 9Support front desk and concierge experience as needed, checking patients in and out, rooming patients, and stepping in wherever the team needs you.

Requirements9

  • 12+ years in a medical or aesthetics back office, with a calm, kind presence in a fast-moving environment.
  • 2Strong organizational skills and the ability to juggle multiple priorities without dropping the ball or the tray.
  • 3Reliability, compassion, and a genuine team-first attitude.
  • 4Precision in inventory counts, tray prep, and restocking—exact sciences here.
  • 5Anticipation—you're three steps ahead of the schedule at all times.
  • 6Ownership and accountability—the state of the studio is a direct reflection of your standard.
  • 7Friday and Saturday availability—mandatory.
  • 8MA, CNA, LVN, or Phlebotomist license is a plus, not required.
  • 9Experience in aesthetics or medical settings is a plus, but a willingness to learn counts for a lot here.
