You own the front desk at Urban Medical, a premier luxury medical aesthetics practice in Phoenix. You manage patient flow, scheduling, and administrative support for a team of providers delivering Botox, fillers, and functional medicine. You work with a close-knit team of Medical Assistants and Nurse Practitioners to deliver a five-star client experience. What You'll Do8
- 1Book, reschedule, and confirm patient appointments using Mindbody and EHR systems, ensuring smooth clinic flow.
- 2Greet patients warmly and check them in, managing paperwork and consent forms.
- 3Answer multi-line phones, route calls to providers, and respond to inquiries about treatments and pricing.
- 4Maintain accurate patient records in EMR software, including updating demographics and insurance details.
- 5Process payments, verify insurance benefits, and handle billing inquiries.
- 6Coordinate with Nurse Practitioners and Aestheticians to prepare treatment rooms and manage schedules.
- 7Manage office inventory, order supplies, and prepare patient forms and brochures.
- 8Follow up with patients via text and email to confirm appointments and post-treatment care.
Requirements8
- 11+ years experience in customer service or administration, ideally in a medical or aesthetics setting.
- 2Proficiency with scheduling software and office technology, including Google Workspace and EHR.
- 3Strong verbal and written communication skills with a focus on patient satisfaction.
- 4Ability to multitask and prioritize in a busy clinic environment.
- 5Professional demeanor and genuine passion for aesthetics and wellness.
- 6Detail-oriented with accurate data entry and record-keeping skills.
- 7Flexibility to work some evenings and weekends as needed.
- 8High school diploma or GED required; certification in Medical Assisting is a plus.
