Admissions Coordinator, Healthcare Admissions & Marketing
Overview
You will own the admissions process from inquiry to move-in at Carmel Hills Wellness & Rehabilitation, a facility where nursing is a work of the heart. You will coordinate with clinical teams, referral sources, and families to ensure smooth transitions. This role drives census development, maintains quality mix, and builds community relationships. You will work onsite in Kansas City, Missouri, with a supportive team focused on trust and compassion. You will manage CRM tools and EMR systems to track inquiries and admissions. What You'll Do10
- 1Own the full admissions cycle, from inquiry to move-in, ensuring a smooth transition for residents and families.
- 2Conduct facility tours for prospective residents, families, and referral sources, highlighting amenities and care standards.
- 3Handle walk-in, phone, and electronic inquiries with follow-up within 24 hours, using CRM software to track interactions.
- 4Review and verify clinical, financial, and insurance information against admission criteria, using EMR systems for accuracy.
- 5Screen prospective residents to determine eligibility and coordinate with clinical teams for care planning.
- 6Build relationships with hospitals, discharge planners, case managers, and social services to generate referrals.
- 7Complete all admission documentation accurately and on time, ensuring compliance with regulations.
- 8Track admission trends and prepare reports for the Administrator to support decision-making.
- 9Participate in community referral events and outreach to increase facility visibility.
- 10Address concerns from residents and families during admission, providing exceptional customer service.
Requirements10
- 12+ years in admissions or healthcare sales, preferably in long-term care or senior living.
- 21+ years experience with CRM systems like Salesforce or HubSpot.
- 31+ years experience with EMR platforms such as PointClickCare or MatrixCare.
- 4College degree in business, healthcare administration, or related field preferred.
- 5Strong verbal and written communication skills for interactions with families and referral sources.
- 6Professional appearance and demeanor, representing Carmel Hills in the community.
- 7Knowledge of Medicare, Medicaid, and insurance verification processes.
