Administrative Coordinator, Raiser's Edge NXT & Advancement Operations
Overview
Own data-centered operational support for advancement at scale within a collaborative team. Develop and maintain accurate constituent, gift, prospect, and event records in Raiser's Edge NXT and related systems. Produce reports, support donor stewardship, events, and communications while handling confidential information with discretion. Work onsite in New York with a focus on data quality, accuracy, and process improvement.
What You'll Do10
- 1Build and maintain donor and prospect records in Raiser's Edge NXT with accuracy and confidentiality
- 2Design and generate standard and ad hoc reports to support fundraising, stewardship, events, and board reporting
- 3Own gift processing and reconciliation activities in partnership with Finance to ensure accurate documentation and acknowledgment
- 4Coordinate prospect research, moves management, and advancement operations data needs
- 5Collaborate with Communications and institutional partners to align donor data with organizational standards
- 6Schedule meetings and prepare materials for donor interactions and advancement events
- 7Coordinate registrations, guest lists, sponsor records, and post-event follow-up for fundraising events
- 8Maintain data governance practices and data quality initiatives to reduce duplicates and inconsistencies
- 9Support leadership and committee activities by preparing materials, reports, and documentation
- 10Provide backup administrative support to the AVP of Advancement and assist with special projects and events
Requirements10
- 1High school diploma or equivalent; associate or bachelor's degree preferred
- 2At least two years of experience in database administration, high-volume data entry, gift processing, or advancement operations
- 3Hands-on experience with Raiser's Edge NXT or comparable CRM system
- 4Strong Microsoft Excel skills including pivot tables and lookups; proficiency in Outlook, Word, PowerPoint, and Adobe Acrobat
- 5Demonstrated accuracy and comfort working with financial data including reconciliation and auditing tasks
- 6Ability to handle confidential information with discretion and exercise sound judgment
- 7Experience with online giving, event registration, email marketing, and prospect research platforms preferred
- 8Commitment to trauma-responsive, equitable, inclusive, and collaborative organizational culture
- 9Willingness to complete Raiser's Edge NXT training and adhere to data standards
- 10Ability to work onsite in Yonkers and flexible scheduling for meetings and events
