What You'll Do10

  • 1Coordinate day-to-day operations for assigned programs and projects, aligning schedules and resources with team goals in the first 90 days.
  • 2Provide advanced administrative support for human resources, including managing personnel data in the ECHM HR database and assisting with official travel tasks.
  • 3Manage office records with confidentiality and organization, updating files and logs to NIH standards.
  • 4Arrange and set up meetings, including scheduling rooms, preparing materials, and confirming attendee availability.
  • 5Enter purchase requests for lab and office supplies, tracking approvals and deliveries.
  • 6Ensure compliance with NIH and NIDCR policies, rules, and procedures across all tasks.
  • 7Assist in preparing the NBS CGE database and process government travel for staff, including bookings and reimbursements.
  • 8Greet visitors, direct them to appropriate locations, and maintain a welcoming front desk.
  • 9Develop and process documents for Professional Service Contracts, from drafts to final versions.
  • 10Draft, format, and edit complex written documents, letters, memoranda, and email messages, ensuring clarity and accuracy.

Requirements9

  • 1Associates degree in a related field; Bachelor's degree preferred.
  • 23+ years of related administrative experience.
  • 3Previous NIH experience strongly preferred.
  • 4Proficiency in Microsoft Office Suite including MS Word, Excel, Outlook, and PowerPoint, plus internet research skills.
  • 5Demonstrated ability to plan, organize, and prioritize work in an environment with multiple and conflicting demands, while maintaining confidentiality and handling sensitive matters diplomatically.
  • 6Proven initiative and ability to work independently with minimal supervision.
  • 7Excellent interpersonal skills with clear verbal and written communication, and a positive attitude.
  • 8Close attention to detail with the ability to multi-task effectively.
  • 9Exceptional organizational, leadership, analytical, and time management skills.
