Administrative Assistant, Front Office & Finance Support
Overview
The Administrative Assistant will own front-office operations at AFFCF and support Senior Leadership with calendars, records, and routine financial tasks at a mid-size nonprofit. This on-site role collaborates with the Director of Finance & Operations and the broader organization to maintain professional reception, organize documents, and ensure smooth day-to-day administrative workflows. The position blends customer service, clerical duties, and basic financial processing in a mission-driven environment.
What You'll Do10
- 1Build and maintain front-office coverage during business hours for visitors, calls, mail, and deliveries
- 2Manage calendars and coordinate meetings for Senior Leadership and external participants
- 3Prepare meeting materials, agendas, and follow-up documents and track action items
- 4Process and organize documents, records, and routine financial documentation
- 5Coordinate supply orders, room scheduling, and office security procedures
- 6Assist with onboarding/offboarding administrative components and training reminders
- 7Support routine administrative projects, reports, and data entry
- 8Prepare and distribute communications and maintain organizational contact lists
- 9Track recurring administrative checklists and service requests
- 10Support board and committee meeting logistics and note-taking
Requirements5
- 1High school diploma or equivalent
- 2Two years of administrative experience preferred
- 3Experience using common office software and technology
- 4Ability to manage multiple priorities and confidentiality
- 5Must obtain Arizona Level 1 Fingerprint Clearance Card and CPR First Aid within required timelines
