Accounting Operations Administrator, Event Design & Payroll
Overview
Own the financial engine of a Denver-based event design firm, managing QuickBooks bookkeeping, AP/AR, payroll, and monthly close to ensure accurate, audit-ready books. You'll work directly with owners, building job costing systems and reporting dashboards that turn raw data into strategic insights. What You'll Do10
- 1Own all core accounting functions including bookkeeping, AP/AR, payroll, and monthly reconciliations, ensuring accuracy and consistency across all financial data.
- 2Manage and improve the monthly close process, delivering clean, well-documented financials within tight deadlines.
- 3Maintain and audit QuickBooks, Ramp, and payroll platforms, ensuring compliance, proper coding, and clean financial records.
- 4Oversee accounts receivable workflows, tracking payments, resolving client discrepancies, and partnering with sales to drive collections.
- 5Manage accounts payable processes, from vendor setup to invoice approval, guaranteeing timely and accurate payments.
- 6Own payroll processing and HR financial support, including onboarding, benefits administration, contractor payments, and compliance filings.
- 7Lead implementation of job costing systems, collecting accurate project data and building processes to track profitability per event.
- 8Develop monthly reporting dashboards in Excel and QuickBooks, providing owners with clear visibility into revenue, costs, and margins.
- 9Conduct quarterly business reviews, analyzing departmental performance and delivering actionable recommendations for cost control.
- 10Drive continuous improvement of financial workflows, automating repetitive tasks in QuickBooks, Ramp, and Rippling to increase efficiency.
Requirements10
- 14-7+ years of hands-on accounting experience covering bookkeeping, AP/AR, and reconciliations.
- 2Expert-level proficiency with QuickBooks Online and financial system management.
- 3Proven experience running payroll and supporting HR financial processes like benefits and contractor payments.
- 4Track record of building financial reports and dashboards for leadership decision-making.
- 5Solid understanding of job costing or project-based accounting, with ability to design cost tracking frameworks.
- 6Comfortable navigating multiple platforms including QuickBooks, Ramp, Rippling, and Excel for analysis.
- 7Advanced Excel skills: pivot tables, VLOOKUP, and data modeling for monthly reporting.
- 8Strong attention to detail with a root-cause mindset for resolving discrepancies.
- 9Self-directed and proactive, able to identify gaps and implement solutions without hand-holding.
- 10Excellent cross-functional communication to align departments on financial data accuracy.
