Warranty Administrator, Automotive Dealership
Overview
You will own the entire warranty claim process for a high-volume Lexus dealership, submitting claims to the manufacturer within one business day of RO close. You will ensure claim accuracy, resolve charge-backs, and maintain strong relationships with warranty reps. Reporting to the service manager, you will provide weekly status reports and conduct audits to prevent fraud. This role stands out for its direct impact on revenue recovery and its cross-functional collaboration with service, parts, and technicians.
What You'll Do10
- 1Submit all warranty claims by the next business day following RO close date.
- 2Resolve all claim corrections and charge-backs to maximize revenue.
- 3Build and maintain relationships with the manufacturer's designated warranty representatives.
- 4Review each warranty repair order for proper completion, accuracy, and legibility per policy.
- 5Analyze claim problems and identify trends to develop strategies for maximizing claim process.
- 6Flag technicians for the hours they earned on service performed.
- 7Check repair orders against vehicle service history to avoid duplicate claims.
- 8Provide a weekly report to the service manager on claim status.
- 9Report any fraudulent manipulation of warranty claims.
- 10Conduct weekly audits of warranty schedules, reviewing old claims and addressing adjustments or write-offs.
Requirements8
- 12+ years experience in an automotive dealership.
- 2High school diploma or equivalent.
- 3Ability to communicate effectively in writing and verbally.
- 4Ability to confront and resolve difficult customer service situations.
- 5Demonstrated customer service skills.
- 6Ability to read and comprehend written instructions and information.
- 7General knowledge of automotive parts and vehicle mechanical operations.
- 8Technical aptitude displayed by ASE certification or successful completion of pre-employment test.
