What You'll Do9

  • 1Coordinate all clerical operations for the Surgery-Oncology department, including patient scheduling, registration, and medical records management.
  • 2Serve as the primary liaison between clinical staff, physicians, and administrative departments to resolve operational bottlenecks in real time.
  • 3Answer and triage phone calls and email inquiries, ensuring timely resolution of patient concerns and provider requests.
  • 4Support daily clinic operations by preparing patient charts, verifying insurance, and coordinating referrals and prior authorizations.
  • 5Manage complex scheduling across multiple providers, including surgical and oncology appointments, while prioritizing urgent cases.
  • 6Process incoming and outgoing correspondence, including lab results, pathology reports, and imaging studies, under strict confidentiality policies.
  • 7Maintain electronic health records with Epic (or equivalent system), updating patient demographics and visit documentation.
  • 8Run daily reports on clinic metrics and escalate variances to the clinical operations manager.
  • 9Train and guide new clerical staff on system policies and procedures to ensure consistent compliance.

Requirements8

  • 15+ years of experience in a clinical administrative or coordinator role within a professional healthcare environment.
  • 2High School Diploma or equivalent required; Bachelor's Degree preferred.
  • 3Proficiency in Microsoft Office (Word, Excel, Outlook) and electronic scheduling systems.
  • 4Experience with Epic or comparable EHR for patient scheduling and documentation.
  • 5Demonstrated ability to manage high-volume phone and email correspondence with professionalism.
  • 6Working knowledge of medical terminology, especially surgical oncology and inpatient/outpatient procedures.
  • 7Strong problem-solving skills with the ability to interpret and apply system policies independently.
  • 8Excellent organizational skills with attention to detail for managing complex multi-provider calendars.
