Sr. Practice Assistant, Surgical Center
Overview
Join the MGH Outpatient Surgical Center in Waltham as a Sr. Practice Assistant, owning patient reception, administrative coordination, and OR scheduling in a high-volume ambulatory surgery environment. You will support a team of surgeons, nurses, and administrative staff, ensuring seamless daily workflows from check-in to check-out. This role stands out for its rotating schedule (5:30 AM–2:00 PM or 7:30 AM–4:00 PM) and the opportunity to act as a Super User for EPIC scheduling, registration, and billing systems. You will be the first point of contact for patients and providers, driving an exceptional patient experience while keeping operations on track.
What You'll Do8
- 1Manage patient check-in and check-out, verifying demographics, insurance, and consent forms in EPIC.
- 2Schedule surgical procedures, coordinate OR bookings, and handle schedule changes or blocking.
- 3Triage incoming calls: route prior authorizations, provider questions, prescription refills, and test results.
- 4Process patient billing forms and scan documents into EPIC accurately.
- 5Train and mentor junior staff as Super User for scheduling, registration, and billing systems.
- 6Maintain appointment records and confirm patient information, ensuring minimal wait times.
- 7Resolve routine issues independently, escalating complex situations to clinical leadership.
- 8Support providers with administrative tasks during peak surgical periods.
Requirements8
- 1High school diploma or equivalent required.
- 23-5 years of office experience, preferably in a healthcare setting.
- 3Advanced Outlook, Word, Excel, and PowerPoint skills.
- 4Knowledge of office procedures: filing, copying, scanning, printing, and faxing.
- 5Ability to manage non-routine phone calls, solve routine issues, and handle sensitive inquiries.
- 6Strong written communication: compose and edit emails, memos, and letters with clarity and accuracy.
- 7Excellent time management: prioritize tasks, follow protocols, and work within systems.
- 8Proofreading and editing skills for patient-facing documents.
