Senior Facilities Specialist - National Academy of Recording Arts & Sciences
Overview
The Senior Facilities Specialist will lead day-to-day operations of owned and leased offices ensuring safety efficiency compliance and alignment with mission. This proactive role serves as liaison between internal stakeholders landlords and service providers. We seek a problem solver with strong business acumen and service orientation.
What You'll Do15
- 1Evaluate and manage daily maintenance and beautification of interior and exterior premises
- 2Provide daily customer service support via helpdesk ticketing system
- 3Lead space allocation and office setup including new staff welcome packages furniture inventory and relocations space assignments and cost documentation
- 4Support Chapters nationwide with furniture needs shipping receiving and remote office assistance
- 5Develop and implement ergonomic standards for staff in collaboration with People & Culture department
- 6Maintain all facilities-related service contracts operate equipment as needed
- 7Serve as department contact for onsite security guard and building systems vendors
- 8Own Fire Life and Safety program managing fire alarm monitoring extinguisher inspections and annual refill exchanges
- 9Manage vendors for mail parcel copier and courier services including seasonal bulk mail surges
- 10Handle contracts for offsite storage acting as point person for shredding services
- 11Monitor and adjust HVAC system performance
- 12Submit City of Santa Monica Emission Reduction Plan and develop sustainability initiatives
- 13Maintain employee amenities such as fitness room transportation vehicles rideshare program and community bicycles
- 14Coordinate facilities logistics for annual GRAMMY Awards Telecast and GRAMMY Specials
- 15Curate and manage GRAMMY Awards 4-foot statues used at telecasts and special events
Requirements8
- 1Bachelor's degree or equivalent work experience in Facilities Management or Operations
- 25+ years of related experience with building management systems
- 3Experience negotiating business vendor contracts
- 4Proficiency in office and building management software/systems
- 5Professional written and verbal communication skills
- 6Self-starter with excellent customer service interpersonal skills
- 7Ability to multi-task stay organized maintain strong attention to detail
- 8Willingness to travel occasional availability
