Facilities Admin Support I San Francisco
Overview
Coordinate day-to-day functions including supply oversight event planning and meeting support across multiple departments. Provide administrative assistance while exercising judgment with minimal instructions. This role involves supporting Facilities teams managing technicians project staff and unified communications while handling logistics for off-site visits and vendor coordination.
What You'll Do11
- 1Assist Facilities and Unified Communications with event planning and meeting support including set-up tear-down and clean-up
- 2Coordinate ordering inventory distribution of office supplies janitorial supplies coffee tea and related items
- 3Arrange off-site visits for staff by identifying client requirements and expectations
- 4Support various Facilities teams such as Technicians Project Staff General Office Staff Unified Communications Equipment Maintenance EH&S Security Fitness Center
- 5Order and set up purchase orders for office furniture conference room items and production related special requests
- 6Anticipate user needs and make preparations against potential risks
- 7Maintain and execute Essential Certificate coordination for vendors on-site
- 8Assist with oversight of employee accommodations for out-of-town visitors
- 9Coordinate onboarding and desk setup for new hires
- 10Organize file restructuring and maintain physical electronic facilities files such as contracts certificates of insurance agreements statements of work
- 11Provide administrative support for other departments as requested
Requirements11
- 1High School or GED with 1+ years of increasingly responsible administrative experience or equivalent combination
- 2Excellent written verbal and interpersonal skills
- 3High proficiency with Microsoft Office tools and Adobe Products
- 4Ability to prioritize assignments in a fast-paced multi-task environment
- 5Organized detail-oriented and proficient in mathematics
- 6Strong oral written and interpersonal communication skills
- 7Minimum 5+ years building ETL pipelines with Spark and Airflow
- 8Experience with AWS Certified certifications
- 9Understanding relevant security privacy and compliance principles and adherence to company regulations
- 10Willingness to work on site with possible business travel from 0% to 5%
- 11Physical ability to lift and move up to 25 pounds
