Senior Administrative Assistant, Executive Support
Overview
You will own complex calendar coordination, travel logistics, and expense reporting for multiple consulting professionals at AlixPartners, a global consulting firm. You will handle sensitive client information and resolve urgent issues in a hybrid Boston office. You will support the Office Management Director and collaborate with cross-functional teams. This role demands discretion, adaptability, and a proactive mindset. You will also contribute to event planning and office services, ensuring smooth operations.
What You'll Do9
- 1Manage complex calendars for multiple consultants, scheduling internal and external meetings across time zones.
- 2Book domestic and international travel itineraries, processing expenses and time reports in Concur.
- 3Draft and edit correspondence, invoices, engagement letters, and presentation materials with Microsoft Office.
- 4Handle sensitive client information with discretion, exercising judgment in urgent situations.
- 5Proactively resolve scheduling conflicts and adapt to changing priorities in real time.
- 6Coordinate with internal and external stakeholders to ensure alignment on deliverables.
- 7Support event planning and technical logistics for internal and external events.
- 8Provide backup for office management and front desk reception, including visitor coordination and facility liaison.
- 9Restock kitchen supplies, set up and clean conference rooms, and perform other office duties as needed.
Requirements9
- 13+ years of administrative assistance experience, with a professional services firm preferred.
- 2High School diploma or equivalent required; college degree preferred.
- 3Advanced proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
- 4Proven ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.
- 5Strong judgment and discretion when handling confidential information.
- 6Excellent written and verbal communication skills in English.
- 7Ability to work overtime as needed, with core hours 8:30 AM - 5:30 PM ET.
- 8Ability to lift 15 pounds and travel 10%.
- 9Must be authorized to work in the United States without sponsorship.
