You will be the welcoming face and operational hub at a Beaumont middle school, managing front-office flow for a diverse community of 500+ students, families, and staff. You own the visitor check-in process, attendance tracking, and daily administrative support, ensuring every interaction is clear, respectful, and secure. Working closely with the principal, secretary, and nurse, you’ll coordinate substitute coverage, medication administration, and first aid response. You’ll also guide families through school policies and procedures, using Synergy, Raptor, and Aesop to keep everything running. What You'll Do9
- 1Build a welcoming front desk: greet each visitor, confirm they sign in via Raptor, and alert staff to any security concerns within the first 30 days.
- 2Own attendance for staff and students: record absences, manage substitute requests in Aesop, and sync reports with payroll by the second month.
- 3Serve as the first responder for parent and student questions by phone, email, or in person, triaging requests to counselors, administrators, or registrars.
- 4Scan and file all incoming documents (enrollment forms, medical records, permission slips) using Synergy and district drives, keeping digital and physical files current.
- 5Distribute mail and sort deliveries, coordinating with the front office team to ensure nothing gets lost.
- 6Review student and family documents for completeness, flagging missing items and guiding them through the next steps.
- 7Provide medication to students per approved nursing plans, and step in for first aid when the nurse is unavailable.
- 8Guide students through school policies and procedures, helping them navigate schedules, lost items, and office referrals.
- 9Support the school’s equity goals: model inclusive behaviors, attend DEI trainings, and apply a racial equity lens to every interaction.
Requirements10
- 11-2 years of front desk, customer service, or school office experience, preferably in a K-12 setting
- 2Proficiency with Microsoft Office Suite and Google Workspace, including email, calendars, and spreadsheets
- 3Experience with student information systems such as Synergy, Raptor, or PeopleSoft is a plus
- 4Ability to learn district software quickly, including attendance, visitor management, and substitute tracking tools
- 5Strong written and verbal communication, with active listening skills and calm de-escalation under pressure
- 6Demonstrated confidentiality, judgment, and tact when handling sensitive student and family information
- 7Knowledge of first-aid procedures; willingness to be certified in medication administration and CPR
- 8High school diploma or equivalent
