
Office Manager, Part-Time School Administration
Overview
You own the school office as the primary gatekeeper, managing student records, compliance audits, and daily operations for a K-8 charter school in Columbus. You coordinate with the Principal, EMIS Coordinator, and transportation departments to keep enrollment, attendance, and federal program data accurate. You create a welcoming front desk experience while handling sensitive documentation with discretion. This part-time role (7:30 AM to 12:00 PM) suits a detail-oriented professional who thrives on structure and student support.
What You'll Do10
- 1Prepare and manage all files for State and Federal audits, including FTE, CSADM, and food service reviews.
- 2Maintain student files with enrollment records, medical documentation, and proof of residency, ensuring completeness within 48 hours of records requests.
- 3Coordinate with the EMIS Coordinator to submit accurate enrollment and attendance data, and monitor McKinney-Vento paperwork for homeless students.
- 4Track and report Free and Reduced Lunch program reimbursements, submitting weekly enrollment and monthly lunch reports.
- 5Administer medications only per the Student Handbook, locking all meds and logging every dose with parent and doctor consent forms.
- 6Serve as sole gatekeeper for student records, enforcing sign-out sheets for all office files and complying with district requests within 48 hours.
- 7Mail enrollment confirmations, open house notices, truancy alerts, and Title I letters, plus call families of absent students by 10 AM daily.
- 8Assist the Principal with meeting preparations and enforce visitor sign-in procedures to maintain building security.
- 9Send regular truancy notices and immediately report new medical or IEP records to the Principal and intervention specialists.
- 10Forward all media inquiries to the Superintendent and use de-escalation strategies with upset parents or visitors.
Requirements8
- 1High school diploma or equivalent; 2+ years in business management or a similar field preferred.
- 2Bilingual in Spanish and English preferred for written and verbal communication.
- 3Satisfactory completion of federal and state criminal history checks.
- 4Proficiency in Microsoft Office Suite (Word, Excel, OneNote, PowerPoint) and familiarity with Google Workspace.
- 5Knowledge of office procedures, including telephone etiquette, business writing, and basic math.
- 6Certification in First Aid and CPR procedures.
- 7Ability to lift up to 25 pounds and perform physical tasks like walking, standing, and reaching.
- 8Availability to travel when requested and maintain on-call status.
