Scheduling Manager - Home Care Operations
Overview
As a Scheduling Manager at Elara Caring, you will own scheduling operations for a team serving 60,000+ patients daily across home care settings. You will lead staffing supervisors and coordinators to ensure timely visits and compliance with HIPAA and state regulations. Your focus on scheduling software, EMR platforms, and KPI improvement will reduce gaps and boost patient satisfaction. What You'll Do9
- 1Build daily client visit schedules in scheduling software, ensuring HIPAA compliance and alignment with authorization levels.
- 2Coordinate caregiver placements for long-term cases, start-of-care visits, and fill-in dispatch, reducing gaps to 99% coverage.
- 3Coach staffing supervisors and coordinators on EMR documentation and scheduling best practices.
- 4Design staffing and dispatch plans that cut same-day vacancies by 30% during the first 90 days.
- 5Prepare team for state surveys and contract audits, keeping documentation audit-ready.
- 6Track and improve KPIs like speed to fill and scheduling accuracy using Excel dashboards.
- 7Collaborate with case managers and internal teams to resolve scheduling conflicts within 24 hours.
- 8Champion service plan adherence by reviewing visit notes and caregiver performance.
- 9Represent Elara Caring at community events, upholding mission values and professionalism.
Requirements8
- 13–5 years of supervisory experience in a healthcare environment, including home care or hospice.
- 2Bachelor’s degree or equivalent: associate degree, 60+ college credits, or equivalent home care experience.
- 3Experience supporting elderly or disabled individuals, professionally or personally.
- 4Proficiency with scheduling software, EMR platforms, and Microsoft Office.
- 5Knowledge of state regulations and Medicaid policies for home care.
- 6Strong leadership skills, with a record of coaching teams to meet compliance standards.
- 7Ability to resolve problems professionally, using data and workflow analysis.
- 8Bilingual fluency in Spanish, Mandarin/Cantonese, Russian, or Portuguese is a plus.
