Scheduling Coordinator, Event Staffing & Operations
Overview
You will own crew scheduling for multiple events across Nashville, coordinating up to 50 stagehands per show with Paylocity and Google Docs. You'll join a tight-knit office team under the Operations Management group, supporting Rhino Staging's nationwide event network. This role stands out for its on-call rotation and direct client interaction, making you the backbone of live event execution.
What You'll Do7
- 1Build and manage crew schedules for multiple events and shifts in the Nashville market using Paylocity and Google Docs.
- 2Coordinate last-minute schedule changes with employees and clients via phone and email, ensuring coverage for every event.
- 3Answer and direct incoming calls from employees and clients, resolving inquiries about shifts, logistics, and event details.
- 4Enter employee timesheets, receipts, and client information into Excel and Paylocity, maintaining accurate records.
- 5Work on-call rotation to assist clients and employees after hours, handling urgent scheduling needs.
- 6Support the Operations Management team with ad-hoc tasks, including data entry and event prep.
- 7Maintain a professional appearance and phone etiquette per the Rhino Staging handbook, representing the brand in every interaction.
Requirements9
- 11+ years of scheduling or administrative experience in a fast-paced office environment.
- 21+ years using Excel for data entry, tracking, and reporting.
- 3Proficiency with Google Docs for collaborative document sharing and real-time updates.
- 4Strong verbal communication skills to interact with diverse personalities over the phone.
- 5Ability to work independently and in a team, managing multiple priorities under tight deadlines.
- 6Comfort with on-call rotation, including nights, weekends, and holidays as needed.
- 7High school diploma or equivalent; some college coursework preferred.
- 8Previous experience in the entertainment industry is a plus.
- 9Familiarity with Paylocity or similar HR/payroll software is preferred.
