Event Staffing Manager, Labor Coordination & Payroll
Overview
Owning the full lifecycle of event labor coordination, you manage staffing for 300+ events annually and oversee the NewDay Database for accurate scheduling and payroll. Reporting to the Director of Event Resources, you lead the Associate Support team and act as the bridge between internal groups and external labor agencies. This role goes beyond scheduling: you reconcile contracts, manage purchase orders, and drive payroll accuracy to ensure seamless event execution. What You'll Do7
- 1Recruit, train, and manage the Associate Support team to ensure high-performance event coverage.
- 2Own the NewDay Database, keeping contracts, employee data, and schedules current and accurate.
- 3Send labor requests and create purchase orders that reflect staffing needs for each event.
- 4Reconcile group hours post-event, collect invoices, and update purchase orders to maintain financial alignment.
- 5Track sign-in sheets, investigate payroll discrepancies, and correct time entries within deadlines.
- 6Configure the NewDay communication plan to keep all stakeholders informed before, during, and after events.
- 7Oversee large event support by assigning check-in teams and training staff as needed for additional coverage.
Requirements7
- 12+ years in event staffing, labor coordination, or workforce management role.
- 2Proficiency with Microsoft Office Suite, especially Excel for data reconciliation.
- 3Hands-on experience with NewDay or similar workforce management platforms.
- 4Strong organizational skills to manage multiple assignments with attention to detail.
- 5Proven ability to resolve conflicts and drive resolutions in high-pressure situations.
- 6Excellent oral and written communication for clear liaison with staff agencies and clients.
- 7Flexibility to work weekends during major events to support check-in functions.
