Project Coordinator, HVAC Construction & Field Operations
Overview
The role owns planning, coordination, and execution of commercial HVAC/R installation, service, and retrofit projects nationwide at scale. You will support traveling field teams from the Round Rock office by coordinating with project managers, customers, subcontractors, vendors, and suppliers to keep projects on schedule and within budget. This position emphasizes organization, communication, and meticulous documentation to drive timelines and cost control. You will work with a team that supports large-scale projects across the country.
What You'll Do10
- 1Build and track permits and compliance for local requirements
- 2Create, manage, and reconcile purchase orders and end-of-month processes
- 3Order and schedule materials and equipment aligned with project timelines
- 4Communicate pricing, lead times, and status with vendors and suppliers
- 5Assist with labor scheduling and crew coordination for active projects
- 6Maintain accurate project folders and ensure documentation availability
- 7Prepare and track permits, work orders, submittals, change orders, and closeout documents
- 8Monitor budgets and schedules and flag delays or cost risks to Project Manager
- 9Coordinate billing support with Project Accounting and project managers
- 10Provide primary and secondary contact support to customers on status, changes, and documentation
Requirements10
- 14+ years of experience in project coordination or construction administration
- 2Experience in commercial HVAC/R or mechanical contracting preferred
- 3Strong organizational multitasking and attention to detail
- 4Excellent written and verbal communication skills
- 5Proficiency with Microsoft Office, especially Excel and Outlook
- 6Experience with project management, ERP, CRM, or construction management software
- 7Ability to communicate with field personnel, customers, vendors, and internal teams
- 8Strong problem-solving skills and the ability to prioritize conflicting demands
- 9Ability to read mechanical drawings, specifications, and submittals is a plus
- 10Valid driver's license for occasional site visits
