Office Manager, Luxury Events & Catering in Houston
Overview
The Office Manager will own day to day office operations for a portfolio of luxury event venues and a full service catering operation in Houston. They will manage TripleSeat lead and booking data, support the sales and events teams, and maintain polished client materials at scale. This role sits on site in Houston and partners with leadership to ensure a seamless, professional experience for clients and vendors. This position offers growth as our portfolio expands and events return to full capacity.
What You'll Do10
- 1Lead day to day office operations including supplies, mail, phones, and general correspondence
- 2Administer and maintain TripleSeat including entering and updating leads, bookings, event details, and client records
- 3Manage the lead pipeline by logging inquiries, assigning leads to the sales team, and tracking follow up status
- 4Maintain organized filing systems for contracts, invoices, and business records
- 5Create buffet signs, menu cards, place cards, and other printed materials for events
- 6Prepare and format documents, proposals, and event paperwork in support of the sales and events team
- 7Coordinate with vendors and service providers for office needs and supplies
- 8Assist with tastings
- 9Assist leadership and the sales team with administrative needs and meeting coordination
- 10Support on site during peak event periods as needed
Requirements9
- 13+ years of office management or administrative experience
- 2Hospitality or events industry experience preferred
- 3Experience with event management software TripleSeat or a comparable CRM
- 4Strong proficiency in Microsoft Office and Google Workspace
- 5Experience with Canva or similar tools for creating signs and printed event materials a plus
- 6Excellent organizational skills with the ability to manage multiple priorities and deadlines
- 7Strong written and verbal communication skills and a professional client-ready demeanor
- 8Bilingual English and Spanish a plus
- 9Ability to work on site at our Houston office with occasional flexibility during peak event periods
