Overview

You will own daily operations and financial oversight for the Lloyd Greif Center at USC Marshall, managing budgets that support 50+ courses and programs serving hundreds of students. You will coordinate class scheduling, onboard faculty and student workers, and serve as the operational hub for staff and external partners. This role directly supports one of the oldest entrepreneurship programs in the U.S., requiring precision in budgeting and payroll. You will report to the Director and collaborate across Marshall to keep workflows aligned with school standards.

What You'll Do9

  • 1Oversee daily office operations, setting policies and schedules for staff and faculty.
  • 2Manage Greif Center budgets and expenses, producing monthly financial reports in Excel.
  • 3Schedule classes and faculty assignments each semester using Workday or similar systems.
  • 4Onboard student workers and new hires, coordinating training and paperwork.
  • 5Process purchasing requests, invoices, and reimbursements through ERP systems like PeopleSoft.
  • 6Coordinate office activities, including meetings, events, and travel arrangements.
  • 7Maintain confidential records and files for staff, students, and financial transactions.
  • 8Monitor inventory and office supplies, sourcing vendors and tracking purchases.
  • 9Respond to inquiries from students, faculty, and partners via phone, email, and in person.

Requirements9

  • 1Associate's degree in Business Administration or equivalent combination of education and experience.
  • 23+ years of progressive administrative or office management experience.
  • 33+ years of experience with purchasing, budgeting, or financial reconciliation.
  • 4Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • 5Experience coordinating multiple projects and competing priorities.
  • 6Strong customer service and interpersonal skills.
  • 7Excellent written and verbal communication skills.
  • 8Ability to maintain confidentiality and exercise sound judgment.
  • 9Preferred: Bachelor's degree and experience in higher education or with Workday, PeopleSoft, or Banner.
