Mobile Service Coordinator, Fleet Dispatch & Customer Support
Overview
You will run dispatch for a mobile truck service team, owning route planning and technician scheduling across Phoenix metro. You'll align 30+ daily calls with 5-10 technicians, coordinating parts and repair orders in Procede DMS. This role sits between fleet customers, Parts, and Warranty, making you the hub for uptime. You'll cut downtime and boost billable hours by adjusting routes live and clearing obstacles in the field. A strong communicator who thrives on real-time problem solving will excel here.
What You'll Do10
- 1Dispatch technicians to service calls, matching skill sets and locations to customer priority and workload.
- 2Build daily routes that maximize technician billable hours and respond to urgent requests as they arise.
- 3Monitor technician progress in Procede DMS and shift schedules when priorities change.
- 4Own the customer experience, sending ETAs and status updates by phone and email for every job.
- 5Coordinate parts availability with the Parts department before each dispatch, checking inventory and ordering missing components.
- 6Open and close repair orders in Procede DMS, recording labor hours, parts used, and technician notes for invoicing.
- 7Track warranty documentation and handoffs to Warranty administrators, ensuring complete and accurate submission.
- 8Track technician utilization and response times, and propose process tweaks to leadership on a weekly basis.
- 9Communicate with Service Managers to ensure smooth transfer of work that needs the shop, and follow up with customers on completion.
- 10Manage after-hours emergencies by coordinating on-call availability and quickest response routes.
Requirements9
- 12+ years in dispatching, service coordination, or customer service roles.
- 2Strong organizational skills and ability to juggle multiple priorities without dropping details.
- 3Excellent verbal and written communication for customer-facing updates and internal coordination.
- 4Proficiency with Microsoft Office (especially Excel for route sheets) and dealership management software.
- 5An eye for route optimization and problem-solving under pressure.
- 6High school diploma or equivalent required.
- 7Preferred: experience in heavy-duty truck, fleet, automotive, construction equipment, or diesel service.
- 8Preferred: working knowledge of Procede DMS or similar systems.
- 9Preferred: understanding of warranty processes and repair order documentation.
