Overview

You will plan and coordinate meetings, conferences, executive briefings, and special events for Government executive facilities in Southwest Washington, DC. You will own scheduling, room assignments, audiovisual needs, and logistics from request to completion. You will work with Archibus and other Government-approved scheduling systems to manage reservations and space utilization. You will collaborate with Executive Services, Logistics, Facilities, IT, and Security to ensure seamless events. This role stands out because you will support high-level executive events and manage complex operational details on-site.

What You'll Do10

  • 1Consult customers to identify meeting and event requirements, then design room setups and audiovisual needs.
  • 2Coordinate schedules, room assignments, attendance, security, parking, and logistical support for each event.
  • 3Manage conference room reservations and space utilization using Archibus and other Government-approved systems.
  • 4Develop, update, and distribute Building Event Orders (BEOs) and event documentation accurately.
  • 5Coordinate event requirements with Logistics, Facilities, IT, AV, Security, and Parking teams.
  • 6Conduct pre-event planning meetings, site visits, walkthroughs, and readiness reviews.
  • 7Monitor event execution and resolve operational issues in real time.
  • 8Coordinate post-event closeout, room restoration, and customer follow-up.
  • 9Maintain precise scheduling records and reports for all events.
  • 10Support executive meetings, conferences, ceremonies, VIP visits, and special events as assigned.

Requirements10

  • 12+ years in conference or event planning, preferably in a Government or corporate setting.
  • 2Hands-on experience with Archibus or similar scheduling and reservation platforms.
  • 3Strong organizational and project coordination skills with attention to detail.
  • 4Excellent written and verbal communication skills for senior-level interactions.
  • 5Ability to manage multiple meetings and competing priorities simultaneously.
  • 6Proven customer service and interpersonal skills.
  • 7Ability to coordinate effectively with multiple stakeholders and support organizations.
  • 8Proficiency in Microsoft Office Suite (Outlook, Excel, Word) for scheduling and reporting.
  • 9Must be eligible to work in the US and pass a Government background check.
  • 10100% on-site work in Washington, DC, with occasional early morning, evening, or weekend support.
