O'Mara Law Group seeks a personable detail-oriented reliable Receptionist to serve as the first point of contact for clients visitors and vendors. This role ensures smooth day-to-day operations and supports administrative functions.
What You'll Do15
- 1Greet client’s visitors and vendors with professionalism and warmth ensuring a welcoming positive first impression
- 2Answer screen and route incoming calls promptly and accurately while taking clear and detailed messages when necessary
- 3Manage the front desk and reception area ensuring it remains organized presentable and reflective of the firm’s professional image
- 4Schedule and confirm client appointments consultations and meetings using the firm’s designated software systems
- 5Support new client intake by providing necessary forms verifying information and coordinating details with attorneys and paralegals
- 6Handle all incoming and outgoing mail deliveries and courier services efficiently and accurately
- 7Provide general administrative assistance including filing scanning copying and document management
- 8Oversee the firm’s E-Filing email inbox ensuring timely processing and communication of all filings
- 9Maintain the highest level of confidentiality and discretion in handling client and firm matters
- 10Collaborate with the administrative team to support firmwide projects events and operational needs as required
- 11Maintain cleanliness and organization of common areas including the kitchen pantry and break spaces ensuring supplies and cleaning materials are replenished as needed
- 12Monitor and maintain an updated inventory list of office supplies and coordinate orders as necessary
- 13Keep the firm’s internal staff directory accurate and up to date
- 14Maintain a daily call log for recordkeeping and quality assurance purposes
- 15Exhibit a consistently positive and professional attitude while fostering teamwork collaboration and mutual respect across the firm
Requirements9
- 15+ years building ETL pipelines with Spark and Airflow
- 2High school diploma or equivalent required
- 3Associate degree or additional education preferred
- 4Prior receptionist administrative or customer service experience (law firm or professional services preferred)
- 5Excellent communication and interpersonal skills both verbal and written
- 6Strong organizational skills with the ability to multitask and manage time effectively
- 7Proficiency with Microsoft Office Suite (Word Excel Outlook) and comfort learning legal practice software (Smokeball Paylocity etc.)
- 8Professional demeanor punctuality and reliability
- 9Ability to remain calm and approachable in fast-paced or sensitive situations
