Overview
You will own day-to-day financial, administrative, and office operations at a boutique real estate law firm in Orlando. You'll manage escrow accounting, billing, bookkeeping, and vendor payments using QuickBooks and Mainstreet Community Bank portals. Working closely with the Firm Owner, you'll ensure accuracy, meet deadlines, and support a collaborative team. This hands-on role offers direct impact on firm efficiency and client satisfaction, with an annual raise, bonus structure, and 401(k) match.
What You'll Do10
- 1Post all incoming funds, including wires, checks, and credit-card payments, and prepare escrow receipts in the firm's closing software.
- 2Reconcile balance sheets in QuickBooks and print checks with accurate supporting records.
- 3Upload check-register files to Mainstreet Community Bank's Positive Pay portal and review exceptions per internal controls.
- 4Initiate outgoing wires following the firm's wire-transfer procedures and maintain detailed records.
- 5Process monthly billing for legal clients, create invoices, and monitor client balances to request additional funds as needed.
- 6Pay and record vendor invoices, including insurance, utilities, and IT, and review title-underwriter statements to identify payables.
- 7Coordinate with the accountant and bookkeeper for year-end accounting and file required forms.
- 8Review vendor invoices and contracts for cost-effectiveness, and assist with expense management and financial controls.
- 9Submit documents for e-recording, receive recorded documents, and send final closing packages securely to clients.
- 10Track and pay property taxes, HOA fees, and business tax receipts for home office clients, and maintain organized records.
Requirements10
- 15+ years in law firm administration, bookkeeping, accounting, or title and closing operations.
- 2Prior experience with financial transactions, accounts payable, billing, or escrow responsibilities.
- 3Strong working knowledge of QuickBooks and Microsoft Office.
- 4Experience with legal practice-management or real estate closing software is strongly preferred.
- 5Familiarity with bank portals, Positive Pay, wire transfers, e-recording, and secure document delivery.
- 6Exceptional attention to detail and commitment to accuracy.
- 7Strong organizational, time-management, and follow-through skills to meet recurring deadlines.
- 8Sound judgment and discretion handling confidential client, employee, and financial information.
- 9Clear, professional written and verbal communication skills.
- 10Willingness to assist with tasks outside routine duties to support the firm and clients.
Salary Insight
