Intake Specialist, Personal Injury Admin & Intake Support
Overview
Spanish and English fluent intake support for a Burbank based personal injury firm handling high volumes of client inquiries. Own the initial client engagement, assess viability, and gather case details to convert leads into clients. Collaborate with Pre-Litigation and Litigation teams while delivering polished, professional service on every call.
What You'll Do10
- 1Build rapport with callers and route to appropriate team members
- 2Screen incoming calls to evaluate case viability within the first contact
- 3Prepare and mail correspondence to clients and upload documents to FileVine
- 4Scan, organize, and archive physical and electronic records ensuring legibility
- 5Retrieve data and files for other departments and complete data entry into FileVine
- 6Maintain organized filing systems for physical and electronic documents
- 7Prepare drafts of documents for paralegal use in discovery
- 8Provide administrative support to Pre-Litigation and Litigation departments
- 9Handle high volumes of calls with a calm, courteous demeanor
- 10Overtime may be required to meet firm needs
Requirements10
- 1Bilingual in English and Spanish
- 2Excellent customer service and communication skills
- 3Highly organized with strong time management and prioritization
- 4Proficient in Microsoft Word, Excel, and Adobe PDF; typing speed of at least 65 wpm
- 5Knowledge or experience with FileVine is a plus
- 6Previous experience as an Administrative Assistant or similar role
- 7Familiarity with standard office equipment
- 8Valid driver’s license with own transportation
- 9Authorized to work in the United States on a full-time basis
- 10High school diploma or GED required; Associate’s degree or administrative training preferred
