Front Office Manager Physical Therapy

- 1Oversee daily administrative operations of six outpatient physical therapy clinics
- 2Review and validate contractual adjustments ensuring claim accuracy and payer compliance
- 3Allocate new accounts to analysts from multiple EPIC workqueues based on payer aging and priority
- 4Audit processed claims for accuracy completeness and timeliness prior to submission
- 5Conduct daily and weekly performance reviews tracking productivity and accuracy metrics
- 6Lead and support a team of support staff providing guidance performance feedback and escalation support
- 7Review and summarize end of day and end of week reports to evaluate team output and resolve discrepancies
- 8Manage task assignments track turnaround times and balance workloads across analysts
- 9Provide training and corrective coaching when errors or trends are identified
- 10Oversee denial trending and root cause analysis for orthopedic-related claims
- 11Identify and escalate systemic issues such as incorrect coding missing documentation or payer configuration errors
- 12Work closely with billing coding and authorization teams to resolve high-value claims
- 13Ensure claims are submitted followed up and appealed according to payer guidelines
- 14Prepare and distribute daily weekly and monthly reports on claim status denial trends and AR performance
- 15Monitor KPIs including denial rate claim turnaround time and first-pass resolution rate
- 16Track performance metrics for the entire team and provide data-driven recommendations for improvement
- 17Ensure compliance with HIPAA payer rules and internal SOPs
- 18Stay current with orthopedic coding changes payer updates and EPIC workflows
- 19Recommend and implement process improvements to enhance claim accuracy and reduce rework
- 20Participate in audits and provide supporting claim documentation when required
Requirements5
- 15+ years building ETL pipelines with Spark and Airflow
- 23-5 seasons experience in medical claims management or billing focusing on orthopedic claims
- 3Hands-on experience with EPIC system required
- 4Expertise in CPT HCPCS codes modifiers EOBs ERAs CARC RARC codes and payer-specific denial handling
- 5Advanced Excel skills including pivot tables lookups and trend tracking
