Front Desk Associate, Pediatric Medical Office
Overview
Own the front desk at PM Pediatric Care, a fast-paced pediatric urgent care practice with two locations in Columbia, MD and Glen Burnie, MD. You'll manage patient flow, registration, and administrative tasks, ensuring every family receives a welcoming, first-class experience. You'll collaborate with site leadership and clinical teams to resolve complex issues and support care quality initiatives. What You'll Do9
- 1Greet families professionally in person and by phone, and answer their questions with empathy and active listening.
- 2Monitor and manage patient flow through the waiting and registration process, assisting families with self-registration using PM's check-in systems.
- 3Register all patients and maintain accurate and complete accounts by recording demographics, insurance, and financial information while following HIPAA guidelines.
- 4Coordinate escalations and urgent issues with site leadership to ensure timely and complete resolutions.
- 5Support patient care quality initiatives as directed, employing PM's core values to help families navigate systems before, during, and after visits.
- 6Manage all incoming patient documents, mail, and correspondence, using proper documentation and storage protocols.
- 7Perform opening and closing duties, including organizing, stocking, sanitizing, and reconciling cash drawers.
- 8Collaborate with site leadership and clinical teams to manage complex patient issues and improve workflows.
- 9Adhere to all distributed education and stay current on workflows, responsibilities, and technology updates.
Requirements10
- 11+ years of front desk, concierge, customer service, or hospitality experience, with healthcare environment and medical insurance knowledge preferred.
- 2High school diploma or GED required.
- 3Intermediate skills with Microsoft Office Suite (e.g., Excel, Word, Outlook).
- 4Excellent customer service and telephone skills, plus a professional and friendly demeanor.
- 5Strong verbal and written communication skills, with the ability to relate to children and families.
- 6Quality-focused and detail-oriented, with the ability to calculate simple figures such as receipts, cash drawers, and change.
- 7Outstanding time management, organizational, and critical thinking skills.
- 8Superior situational awareness and ability to react to urgent situations.
- 9Comfortability with routinely shifting demands and navigating multiple computer systems.
- 10Ability to work flexible schedules, including evenings and weekends, and travel to another site within reason.
