What You'll Do10

  • 1Administer office access and guest cards via designated systems, establishing visitor protocols.
  • 2Oversee office operations across Austin, NYC, and San Francisco, including mail, procurement, and health and safety.
  • 3Process office-related invoices and manage budgets in alignment with the global office team.
  • 4Coordinate local and global events, handle catering logistics, and assist with event bookings.
  • 5Manage and resolve office-related requests submitted through Jira, ensuring timely updates.
  • 6Support onboarding and offboarding logistics with IT and People teams.
  • 7Manage the US VP Sales calendar, resolving conflicts and organizing communications across platforms.
  • 8Create and edit compelling presentations that align with corporate branding and messaging.
  • 9Coordinate domestic and international travel and maintain expense reconciliation per policy.
  • 10Handle sensitive information with integrity and discretion.

Requirements8

  • 12+ years in executive support or office management, with Google Workspace and Mac proficiency.
  • 2Bachelor's degree or equivalent work experience.
  • 3Advanced business-level English (reading, writing, spoken).
  • 4Experience managing multiple priorities and ambiguity in a dynamic environment.
  • 5Proven ability to build relationships across organizational levels.
  • 6Familiarity with AI tools and automation for process improvement.
  • 7Strong problem-solving skills with moderate-scope project experience.
  • 8Ability to coordinate large-scale meetings and serve as a first point of contact.
